The setup for a 300-guest reception can take a crew of 15 people more than 12 hours, and they are usually the last to leave after midnight teardown. That labor — drivers, loaders, assistants and cleaners — rarely appears as a single line item, yet it shapes the final bill.
“People sometimes forget the manpower behind each event,” notes Yves Niyifasha, Managing Director of Ishya Events Ltd , a Kigali-based event and wedding planning company. “Setting up a 300-guest reception can take a team of 15 more than 12 hours, and we are the last to leave after midnight teardown. Those hours, plus the cost of backup generators, licenses and transport, all need to be included in the final bill.”

A single luxury bouquet made with imported roses or peony flowers can start around 350,000 RWF and rise to 550,000 RWF once import duties, refrigerated airfreight and same-day transport are added. This is roughly a 150,000 RWF increase over a similar local arrangement. Even locally sourced details, like hand-painted imigongo panels, require skilled artisans whose time and expertise add their own justified premium.

June to September is Rwanda’s peak wedding season, when venues book out a year in advance and suppliers face higher prices for flowers, fabrics and temporary staff. Vendors say weekday weddings or off-season dates can unlock discounts of 10 to 20 percent, a quiet tip that saves money without sacrificing quality.
Everyday Challenges That Add to the Bill
Late bookings force vendors to pay rush fees and hire extra staff. Unclear guest counts mean caterers must over-order food and drinks, raising costs by 10 to 15 percent. Last-minute changes such as adding décor or extending reception hours bring overtime charges that can reach 50,000 to 100,000 RWF per hour. Payment delays create risk for vendors, who may add penalties or require higher deposits to protect their teams.
Smart Moves for Couples
Booking key services six to nine months in advance locks in prices and guarantees availability. Asking for itemized quotes reveals where the money goes (labor, materials and transport) and prevents hidden surprises. Being honest about budget allows vendors to tailor packages, whether the celebration is a 1.5-million-franc intimate gathering or a 5-million-franc grand affair. Choosing a weekday or an off-peak month such as April or November can quietly cut venue and décor costs by double-digit percentages.

For vendors, transparency pays off. Publishing starting prices filters serious inquiries, while clear packages with optional add-ons help couples compare apples to apples. Many successful planners share educational posts or simple budgeting guides that explain cost drivers before the first meeting, reducing uncomfortable negotiations and last-minute shocks.
